Position Summary

Manor College in Philadelphia viewed from aboveServes as Data Entry Coordinator for the Office of the Registrar and provides services and support to students, faculty, and staff with regard to functions of the Office of the Registrar. 

Specific Responsibilities & Essential Functions

  • Room reservations for special events usually requires relocating classes, posting notices, and informing faculty and students
  • Compile and post Final Exam schedule 
  • Enter emergency contacts in a timely manner
  • Enter FERPA releases and Directory Opt-out info in a timely manner
  • Changes – address, telephone numbers, drop/adds for different sections, course drops/withdrawals
  • Process College withdrawals and reverse as necessary
  • Scan, label, attach, and maintain ALL paperwork into student document tracking, in a timely manner
  • Change student schedules due to section cancellations; notify students
  • Notify Marketing to update Website with offerings, final exam schedules, and other changes to be made on Registrar pages
  • Update  ‘board’ with offerings and final exams schedules
  • Telephone/email ‘no shows’ at start of each term
  • Review new student files for required documentation
  • Manage the sending and picking up of mail
  • Create and Post Notices as needed
  • Monitor and act on email in registrar@manor.edu (back up)
  • Process Transcript requests (back up)
  • Complete enrollment and degree verification requests (back up)
  • Respond to inquiries with regard to established policies and procedures for registration, course scheduling and availability, transcript requests, re-admissions, major changes, academic status, etc. (back up)
  • Other duties as assigned

 

Criteria & Qualifications

  • Two years of higher-education experience, preferably in a Registrar’s office, is required
  • Bachelor’s Degree
  • Experience with SIS software desired; preferably Unit 4 CAMS 
  • Computer literacy, Microsoft Office, and data entry; general office experience including multi-line phones; scanning
  • Excellent attendance and punctuality; friendly, customer service-oriented attitude; pleasant and positive telephone skills; patience with repetitive questions; ability to multi-task and work with interruptions; ability to work efficiently, be detail-oriented, and organized with minimum supervision are required
  • Willingness to participate in various [evening and weekend] Academic Affairs and Admissions events
  • Promote and uphold Manor’s Catholic Basilian Mission
